Our Vendor’s Room for 2010 at the Southfork hotel will be comprised of 3 parts of the large Trinity ball room all opened up to make one large event space. The room will be sealed and locked when not open to the public during the event. Nobody be it attendee or vendor will have access to the room until the morning of the following day! Security will be proved in the room by staff members during business hours.

There will be a free breakfast in the Hospitality Suite Friday morning during set up for vendors and exhibitors!

Our layout will have tables lining the walls around the perimeter of the room and there will be two large enclosed islands in the center of the room. Tables will be a standard 6-foot banquet table. Tables are provided by the hotel along with up to 2 chairs per table and tablecloth. Electricity is available but you must have your own extension cords and power bars. * - Only power bars with surge protectors may be used! Two 3 day membership badges for Vendors will be issued per table.

The show reserves the right to deny any vendor space. Vendors must be licensed businesses that do not violate the rules of the I.H.A. There will be NO animal sales at this show. There is to be no sale of any material that is to be considered of an adult or explicit nature –this means NO yaoi, yuri, or hentai! This is a FAMILY event. Vendors may NOT sell or distribute merchandise that violates known copyright laws. No Bootlegs! Only legally licensed and official merchandise is to be displayed or distributed at this show. Vendors may play music and o videos at their tables provided they keep the volume at an acceptable level so as not to disturb the other vendors and attendees. Isles and door ways may not be blocked and must be kept open for safety reasons.

* - If your business plans to distribute food items be it prepackaged or otherwise you must speak with the event organizers to gain approval prior to the event. This includes but is not limited to: pocky, ramune, and ramen!

If you wish to have merchandise shipped to the hotel for the event it must be clearly labeled with your name/business and ‘DFW HEDGEHOG SHOW’. The hotel will not be responsible for lost or abandon packages and neither will the Show. The hotel has carts to help with loading and unloading but they MUST be returned to the front desk after use. If you are loading or unloading at the event space entrances please do not leave your vehicles unattended or block the fire lane for an inappropriate amount of time.

The show’s security will be assigned to help protect the room during hours of operation. We suggest that you always issue a receipt to your customers to provide proof of sale. The show is not responsible for shoplifters, vendors must prosecute shoplifters independently.

In the instance of theft or suspected theft the show’s security will assist you to the best of our abilities.

YOU MUST HAVE A VAILD TAX LICENSE/ID to operate as a vendor at this show. You must submit this to us by no later than September 01, 2010. The current sales tax rate in Texas is 8.25%

No children under the age of 16 may work for dealers as employees or assistants during the show. (An exception will be made only for working family members who have legal adults present.)

IF YOU NEED TO CANCEL FOR ANY REASON YOU MUST DO SO BEFORE 09/01/2010. You will be eligible to receive a 50% refund of your registration fee only if you cancel by this date! If you cancel with the show after this date you will NOT be compensated or refunded in any way.

If you have not arrived and checked in by no later than 9:00 am on Friday November 5th at the event your tables will be forfeit and you will not be refunded or compensated. The Vendor room opens at 11:00 am Friday. If you need to request late set up (can be no later than 10:00 am) you must do so ahead of time. We want to have this room ready for when it opens to the attendees!
